How Veripasshub Cut Event Gate Costs by Automating Its Check-In Process (Case Study)
A manual gate, long queues, and no reliable attendance count. Here's what the gate looked like before automation — and the numbers after.
How Veripasshub Cut Event Gate Costs by Automating Its Check-In Process (Case Study)
Every event we ran into had the same gate problem, and it was never about staffing discipline.
It was structural. A gate is a place where you ask a human to verify, one at a time, whether another human is allowed in. That task has a fixed throughput, and it does not care that 900 people arrived at the same minute.
Here’s what that looked like, what we changed, and what it’s worth. All figures are from this engagement.
The Problem
Our client’s events were running twelve gate agents per venue.
Each one manually checked a ticket or a name against a list. It worked, in the sense that people eventually got in. But:
- Queues. Throughput was limited by how fast a person could read a name and make a judgement call. Peak arrival always exceeded it.
- No real count. Attendance was an estimate produced the next morning. During the event, nobody could answer “how many people are inside?”
- Duplicate entries. Manual checking can’t reliably catch a ticket presented twice, and on a sold-out event that’s real revenue.
- Payroll for twelve people to perform a task that is, functionally, a lookup.
The last one is the one that got the attention. Twelve agents at a Nigerian loaded rate is a substantial monthly figure — spent entirely on a 0.4-second lookup. That’s the cost this engagement removed.
The Solution
We built Veripasshub as a QR check-in system with automated verification.
The attendee receives a unique QR code. At the gate, a staff member scans it. The system validates it against the verified record set and returns a result in 0.4 seconds — valid, invalid, or already-scanned.
There is no manual list to check. There is no judgement call to make. The scan either resolves or it doesn’t.
Underneath:
- 50,000+ verified attendee records processed through the system
- Cryptographic QR validation — a duplicate scan is detected, not eyeballed
- Real-time attendance dashboard — the count is live, during the event
- Full audit trail — every scan is logged with a timestamp, which matters for security and post-event reporting
- Fully automated infrastructure — no manual gate staff required to operate it
The Result
The gate went from twelve agents to zero. Attendees scan and walk in.
The staffing cost reduction landed around 70%. That’s the number that justified the build, and it paid for itself well inside a quarter.
But the operationally interesting change was the queue. It stopped existing. Not “improved” — gone, because the throughput constraint moved from human reaction time to a scan event.
And attendance stopped being an estimate. The dashboard gave a live count, which is the difference between managing an event and reconstructing one the next day.
What Made the Payback Obvious
This was not a hard ROI case to argue, and the reason is worth stating plainly: the process repeated on every single event.
A one-off automation has to justify itself once against an uncertain future. A recurring one has a cycle count. Twelve agents, every event, indefinitely — against a build that costs less than a fraction of what those agents cost across a season.
That’s the same logic behind the Ops Drain Calculator: find the loop that repeats, price the cycle, divide.
The Generalisable Part
Veripasshub is an events product, but the pattern isn’t specific to events.
Any process shaped like “a human verifies, one at a time, whether something is legitimate” is a candidate:
- Gyms — member check-in against an active membership
- Property — guest and viewing access for short-lets and estates
- Venues — staff access control with an audit trail
- Logistics — delivery confirmation at handover
Same engine, different record set. We’ve reused the validation core for all four.
Check Your Own Exposure
If you run events, the Event Access Risk Scanner will tell you where your gate leaks — clear-time bottlenecks, gatecrash exposure, and revenue at risk. It’s free.
And if you want the general version, the Ops Drain Calculator prices your manual processes in naira and returns the payback period.
